Admin & Delegation

What Admin Should a Tradie Delegate First?

TradeDesk VA Published 15 October 2026

Finishing on the tools does not always mean finishing work. There are still customer messages to answer, quotes to follow up, tomorrow's bookings to check and invoices waiting to be sent.

If you are considering admin support, the first question is usually: "What would I actually give someone to do?"

Start with tasks that repeat regularly, have a clear process and do not require your technical judgement.

Start with the work that keeps coming back

For one working week, keep a simple list of the admin you do. Record the task, roughly how long it takes and whether it genuinely needs you.

Include the small interruptions. Looking up a customer's details, resending an invoice and confirming a booking might seem minor individually, but they still break up your day.

At the end of the week, sort the list into three groups:

  • Tasks someone can complete using your instructions.
  • Tasks someone can prepare for your approval.
  • Decisions that must remain with you.

This gives you a practical starting point for delegation.

Five useful tasks to hand over first

1. Inbox organisation and enquiry tracking

Someone can organise incoming messages, flag urgent items and maintain a list of enquiries needing a response.

Agree which messages can receive a standard reply and which need your attention. Technical questions and commitments about availability should follow your approval process.

2. Quote follow-ups

Once you have approved and sent a quote, someone can check whether the customer received it, ask whether they have questions and record the next step.

You retain control of pricing, scope changes and technical advice.

3. Invoice administration

Admin support can prepare invoices from approved job information, send them through your existing process and issue agreed reminders.

Disputed amounts, credits and payment arrangements should be escalated to you.

4. Booking confirmations

Confirming an address, access details and an agreed arrival window is repeatable work.

Give your support person clear rules about travel time, job duration and which bookings require approval before confirmation.

5. Customer and job records

Keeping contact details, job notes and documents organised makes it easier to find information when you need it.

Start with the system you already use rather than introducing another spreadsheet without a clear purpose.

Hand over a process, not just a task

"Manage my inbox" is vague. A useful instruction explains:

  • What needs to happen.
  • Which system to use.
  • What a completed task looks like.
  • What requires approval.
  • When an issue should be escalated.

Use individual user access where available instead of sharing your own login. Give access appropriate to the agreed work.

Start small and review

Choose two or three recurring tasks first. Review what was completed, what remained blocked and whether the instructions need adjusting.

The aim is to reduce the amount of routine work that depends on you, while keeping important decisions under your control.

Your first step: Write down the three admin tasks you least want to do after your next working day. That is your starting delegation list.
